Contact & Task Management
This system is rather more that just a contact management system. In practice in many organizations there is a need to keep records about the equipment ordered and owned by clients including details of contract expiries and recurring cycles, such as maintenance cycles. Each order, service or item of equipment may have a number of details to be tracked.
Lumping all this data into a few descriptive fields is inadequate because it does not provide for automation of cycles of reminders about each item. Records cannot be tabulated or sorted within the contact/client.
This system could be customized to suit a variety of businesses that need to track technical imformation or equipment details along side contact and appointment information.
Tasks
The Tasks management subsystem is flexible. Each type of task will have a series of statuses and actions and rules about how they relate which is table driven. Typically most tasks will have statuses Open, Closed, Cancelled and possibly On Hold and actions such as Cancel, Complete and Add Note. The Appointments task for example migth have additional actions such as (make) Next Appointment or Contact Later which will schedule further tasks or actions.
There may also be custom tabs for specific types of task, for example for equipment or checklists. In the case of an appointment task an appointment tab holds details of the time and location.
Related Contacts
Relationships between contacts can be recorded. This enables the recording of a wide range of relationships such as referrers, key staff, contact roles within the client and so on. as always, double clicking on a contact opens that contacts details.
Related Documents
This is a hyperlinked list of documents associated witht he contact. Clicking will open the document in the approriate application.
Report Screen
The report screen is also table driven so new queries and reports can be added easily. Selection and sort criteria can be chosen as appropriate for each report.
